Getting Started
What is Tuvix?
Tuvix is an AI-powered virtual manager platform for businesses. Each virtual manager runs in its own secure cloud instance, handling specific business functions like customer success, inbox management, lead follow-up, and more. Think of them as AI team members that work 24/7.
What is the Customer Success Manager?
The Customer Success Manager (CSM) is our flagship virtual manager. It uses three AI agents working together to onboard new customers, monitor account health, detect churn risk, and identify upsell opportunities. It automates welcome sequences, sends personalized outreach, and saves your team 10+ hours per week.
How do I sign up?
Click "Sign in" and authenticate with your Google account. That's it — your workspace is automatically created and you can deploy your first virtual manager in minutes.
What do I need to get started?
Just a Google account to sign in and a Gemini API key (free from Google AI Studio). Choose a manager template, complete the setup wizard, and your virtual manager is live within minutes.
Virtual Managers
What virtual managers are available?
We currently offer: Customer Success Manager (flagship), SEO Manager, Inbox Manager, Lead Manager, Reporting Manager, Review Manager, and a Custom Manager option where you can configure the AI for any workflow. More specialized managers are on the roadmap.
Can I run multiple virtual managers at once?
Each subscription includes one virtual manager instance. If you need multiple managers (e.g., a Customer Success Manager and an Inbox Manager), you can create additional instances, each with its own subscription.
How are virtual managers different from a simple chatbot?
Virtual managers are proactive AI agents, not reactive chatbots. They run on a schedule, monitor your data sources (email, CRM, web), take actions (send emails, create reports, update spreadsheets), and alert you when something needs attention. They act like a team member, not a search engine.
Setup & Configuration
What is a Gemini API key and how do I get one?
A Gemini API key lets your virtual manager use Google's Gemini AI model. You can get one for free at aistudio.google.com — sign in, go to "Get API key", create a key, and paste it into your Tuvix dashboard.
Can I use OpenAI (GPT) or Claude instead of Gemini?
Yes. You can provide an OpenAI or Anthropic API key in the dashboard and select it as your default model. You can also provide multiple keys and switch between models.
How long does it take to deploy a virtual manager?
The cloud instance provisions in 2-5 minutes. The setup wizard (which configures your manager's behavior, integrations, and preferences) typically takes another 5-10 minutes. You'll see a progress indicator and receive an email when your manager is ready.
Communication Channels
How do virtual managers communicate?
Virtual managers can communicate via email (sending and receiving), WhatsApp (for notifications and quick interactions), Telegram, and the browser dashboard. Each channel is configured during setup.
How do I connect WhatsApp?
Once your virtual manager is running, go to your dashboard and enable WhatsApp. A QR code will appear — scan it with your phone's WhatsApp app (Settings > Linked Devices > Link a Device). Your manager will start sending notifications and accepting commands immediately.
Is Slack supported?
Slack integration is on the roadmap and will be available soon. Currently, managers communicate via email, WhatsApp, and Telegram.
Security & Privacy
How is my business data secured?
Each virtual manager runs in its own isolated Docker container on Google Cloud. All connections are TLS-encrypted and require token authentication. Container ports are never directly exposed to the internet. Your business data is completely isolated from other customers.
Who can access my virtual manager?
Only you (via your dashboard) and the communication channels you configure. Access requires a unique token and all connections are encrypted.
Are my API keys stored securely?
Yes. Your API keys are encrypted at rest in our database and are only used server-side to configure your manager. They are never exposed to the browser or transmitted to third parties.
Billing
How does the free trial work?
Your first 30 days are completely free with full access to all features, any manager template, and $5 in API credits. No credit card is required to start.
What happens when my trial ends?
Your virtual manager will be paused. You can reactivate it anytime by subscribing. Your configuration, customer data, and history are preserved.
Can I cancel anytime?
Yes. There are no contracts or cancellation fees. You can cancel your subscription from the dashboard at any time.
Recommended Setup
Should I use my personal Gmail account with Tuvix?
We recommend creating a new, dedicated Gmail account specifically for your virtual manager (e.g., csm@yourbusiness.com or manager@yourbusiness.com). This keeps your personal inbox separate, gives you fine-grained control over what the manager can access, and avoids accidental actions on your personal account.
How do I set up the dedicated email account?
Create a new Google account, then use that account's credentials when setting up Email (via App Password), Google Calendar, and Google Drive in your Tuvix dashboard. You can share specific files or calendars from your business account to this dedicated account as needed.
Google Drive Integration
What does "Connect Google Drive" do?
Connecting Google Drive lets your virtual manager access specific files you choose — customer lists, playbooks, reports, and more. After connecting, use the "Pick Files" button to select which files your manager can read.
What permissions does Tuvix request?
Tuvix uses the drive.file scope, which only grants access to files you explicitly select through the file picker. Your manager cannot see or access any other files in your Drive.
How do I give my manager access to more files?
Click the "Pick Files" button on your dashboard anytime to select additional files. Each time you pick files, those files become accessible to your virtual manager.
